Requirements and conditions of cancellation and refund

Any requests for the refund of registration fees will need to be presented to the UC3M Registry on any of the three campuses, by filling in a form that can be obtained therein, at the Student Support Services or through this link Fee refund form

 

The refund request form will be accompanied by the documentation that justifies the claim; the original payment card that had been used to register and the certifying receipt of the bank where the payment was carried out. It will be an essential requirement to have a right to refund, having duly applied for the cancellation of the activity, according to the established procedure.

  • You will be entitled to a refund of the amount paid if the course is cancelled, or the timetable or location of it changes.
  • If the cancellation and refund are requested more than 72 hours before the start of the activity, justification of the reason for refund will not be needed in order to be repaid. In this case, the activity fees will be repaid entirely.
  • If the cancellation and refund request is made during the 72 hours before the start of the program or after it starts, a justification of unforeseen circumstances is needed for the request to be assessed and, where applicable, for the whole or partial reimbursement to be processed. 
  • Registration fee refund requests should be made at least one month before the end of the activity. No refund will be granted if the request is made after this time.

 

Exceptional circumstances for refunds

  • The following will be considered as justified reasons for registration fee refunds:
  • Personal illness or of a family member within two degrees of consanguinity.
  • In the case of personal illness you should provide medical evidence alongside the refund request.
  • In the case of a severe illness in the family, within two degrees of consanguinity, evidential documents should be provided alongside the refund request.
  • Death of the applicant or family member within two degrees of consanguinity. Evidence is required.
  • Timetable clashes with work activities or other unforeseen complementary teaching activities. Evidence is required to check the timetable clash.
