Financial Aids Doctoral School

CALL FOR FINANCIAL AIDS OF THE DOCTORAL SCHOOL FOR PARTICIPATION AND CONFERENCES AND MOBILITY OF DOCTORAL STUDENTS

With this call, the Doctoral School supports the dissemination and internationalization of doctoral scientific results through participation in conferences and scientific events, and by conducting short research stays for its doctoral students during the 2023/2024 academic year.

These activities are considered an essential part of the training process for doctoral students as a contribution to the quality of doctoral theses and the internationalization of doctoral programs.

There are two types of financial aids:

  • Type 1: Financial aids to fund expenses derived from participation in scientific-technical conferences
  • Type 2: Financial aids to fund expenses for short research stays outside of Spain

What doctoral programs participate?

According to Annex I of the rules of the call, the following doctoral programs participate:

What requirements do I have to meet to participate?

  • Be enrolled at UC3M in one of the doctoral programs listed in Annex I during the 2023/2024 academic year, and being up to date with the payment of enrollment fees
  • Have passed the latest annual doctoral evaluation
  • Not have defended the doctoral thesis before the activity takes place
  • Hold a bank account based on Spanish territory or SEPA region.

How can I apply for the financial aid?

Your student credentials below are required to access the form:

  • UC3M username: 100xxxxxx
  • UC3M e-mail password 

Additionally, applicants are required to upload the documents required in the call for applications, according to the financial aid type of your choosing.

Type 1 (Participation in conferences):

  • Descriptive report of activities to be carried out with the approval of the thesis supervisor, according to this template: Descriptive Report
  • Documents providing information about the Conference (purpose, description, participants). For online conferences with no travelling involved, the registration fee must be indicated
  • Letter of acceptance of the work, communication or poster
  • Statement of commitment to mention Universidad Carlos III de Madrid in the communications, documents or material to be presented at the conference, according to this template: Committment to make reference to UC3M

Type 2 (Short stays):

  • Descriptive report of activities to be carried out with the approval of the thesis supervisor, according to this template: Descriptive Report
  • Letter of invitation from the host Center.
  • Approval of the stay by the Academic Committee of the Doctoral Program. This is included in the Descriptive Report. It is not required to provide a separate document.
  • Background of the research group/center/university where the stay will take place.

When can I apply for the financial aid? 

Application period is open from April 4th through May 6th 2024 (23:59h., CET).

When must the funded activities be carried out?

Activities for both types must be carried out from 1st of October 2023 through 30th of September 2024. Activities started before the 30th of September and ending after said date will also be taken into consideration.

Can I apply for more than one type of financial aid, or for two financial aids of the same type?

Yes. To apply for more than one financial aid, or for both types, a separate application must be submitted for each aid.

Please note that the Ph.D. program in Law will only provide financial support for one application from Type 1 (Participation in conferences) per applicant.

Besides, the Ph. D. program in Electrical Engineering, Electronics and Automation will only provide financial support for applications of the Type 1 kind (Participation in conferences); applications for the Type 2 (short stays for research outside of Spain) will not be admitted.

When will the resolution of the call be announced?

The proposal to award the financial aid will be announced before June 6th.

When and how  I receive the payment of the awarded financial aid?

Recipients are required to provide documented proof of the activity, as established for the type of financial aid received in the call for applications, within a month from the end date of the activity.

The payment of the financial aid will be transferred to a bank account based on Spanish territory or SEPA region. No payments will be made to bank accounts outside of Spain or SEPA region, or held by a third person.
