Conditions for Short-Term Stay Plan

The Residence Halls and Lodging Service reserves a certain number of rooms to be used on a special short-term stay basis for teachers and guests of the different departments of Carlos III University of Madrid, as well as for family members of the residents.

Procedures for Use and Reservations

1.- Contact the Administration Office of the Residence Hall where you wish to reserve to enquire about vacancies.
2.- Fill out the Room Reservation Request form (individual or group reservations), or (room reservations, catering facilities and certain comunal areas) and send the form, along with the signature of the person responsible for payment, to the corresponding Residence Hall by internal mail or fax.

  • If the reservation is being made through one of the University Departments, Schools or Services, and if the expenses are being paid by the University, the corresponding code for that department etc. must be included and a copy sent to the Financial Administration Office of the University. 
  • If the payment is made by the guest directly, s/he must also turn in the bank stub or transfer receipt showing the deposit into the Residence Hall account.

3.- Use of the telephone or other services during the stay must be paid at the Administration Office before leaving the Residence. In the case of non-payment by the guest, the person or department who made the reservation will be held responsible.

4.- If the stay is to be shorter than that reserved, the corresponding amount will be returned if the Office is notified 3 days before the start of the stay.

5.- The length of stay under these conditions can not exceed 2 months.

6.- If the reservation is for one month or longer (maximum 2 months), a deposit of 50% of the total (VAT excluded) will be required in addition to the room rate.

7.- There is a penalty of 25% of the price of all reservations made and not kept for group reservations made by the Universidad Carlos III de Madrid, except if they are cancelled at least one week prior to the arrival date.

The same penalty under the same conditions applies to group reservations made by institutions not associated with the Universidad Carlos III de Madrid. In addition, it is necessary to make a down payment of 25% of the total price of the reservation. In this case, the reservation will not be confirmed until the down payment is made via the payment method established by the Residence Hall administration.

 8.- Rooms are available for check-in from 12:00 noon on. Check-out is before 12:00 noon. If the room is not vacated by this time, there will be a charge for an additional day. If the stay is to be extended beyond the time reserved, sufficient advance notice must be given.

9.- The established room rate includes change of linens and cleaning every three days or twice a week, according to the length of stay. These rates are established exclusively for the University Community.

10.- Those Residents who are admitted to the Residence Halls on the Full-Time Residence Plan can not participate in the Short-term Stay Plan during the same academic period.

11.- The Residence Halls offer reductions in room rates for longer stays. The final rate is applied based on the actual time the room was occupied.

  • Prices per day and for stays of up to one week.
  • 8% V.A.T. NOT INCLUDED.
  • For stays longer than 7 days, contact Residence Hall administration for prices.
  • Included in the price is a cleaning and a change of bedding every 3 days or twice a week.
  • “Apartment” type rooms can be reserved in the Getafe Residence Hall and in the Leganés Residence Hall.
  • To inquire about accommodation rates for persons or groups not associated with the Universidad Carlos III de Madrid, contact Residence Hall administration.
